Position Overview - Administrative Assistant I

The Department of Military Affairs is looking to hire an Administrative Assistant I based at Camp Lincoln in Springfield, Illinois. This position under general direction of the Agency Fiscal Officer, serves as staff assistant; performs highly important, technical administrative functions of a routine and of highly confidential nature; assists in the coordination of programs and special projects. The Department of Military Affairs works with the members of the Illinois Air and Army National Guard. We welcome all interested applicants to apply.

Essential Functions

  • Serves as staff assistant to the Agency Fiscal Officer.
  • Researches and organizes background materials necessary in responding to management external inquiries.
  • Receives and reviews various utility bills and pest/waste management bills for accuracy and conformation to policy.
  • Serves as personnel liaison between the Agency Fiscal Officer and the Personnel Office on personnel related matters.
  • Coordinates requests for new furniture, telephones, office supplies with appropriate personnel.
  • In conjunction with and/or in the absence of the Fiscal Officer, analyzes, disseminates, tracks and follow-up on correspondence, policy notices and verbal requests pertaining to policy/program issues from the public, other agencies and other divisions/sections.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to completion of four years of college, with courses in public administration and accounting.
  • Requires one year of professional experience in accounting.

Preferred Qualifications

  • Prefer knowledge of office procedures and programs.
  • Prefer knowledge of computer software to include Microsoft Office.

Employment Conditions

  • Requires the ability to pass a DoD background investigation and obtain a DoD Common Access Card (CAC) prior to hire or transfer.
  • Position is primary sedentary; however, may require being on feet for long periods of time.
  • This position is considered medium work as defined by the U.S. Department of Labor (20 CFR 404.1567(c)). Medium work involves lifting no more than 50 pounds at a time with frequent lifting or carrying of objects weighing up to 25 pounds.

Work Hours: 8am - 4pm. Can vary based on mission requirements.
