Job Description

Macdonald and Company are proudly partnered with a privately held commercial real estate property management firm in San Francisco, who are seeking to appoint an Assistant Property Manager.

The firm have been providing a variety of management services for over 40 years and primarily serve an international investor base in the efficient operation of Office assets.

The Role

The Assistant Property Manager is responsible for providing administrative support for operational and leasing matters across the portfolio of assets, ensuring effective communication and documentation as it pertains to the day-to-day management of Office properties.

Role Responsibilities

  • Enter lease data and tenant charges into property management software.
  • Coordinate tenant move-ins/move-outs, including logistics and security access.
  • Maintain tenant files, lease records, and contact information.
  • Process and code invoices from vendors and contractors.
  • Execute billing for specialized services and utility usage.
  • Enter payment data into accounting system.
  • Assist with Operating Expense (OPEX) adjustments.
  • Conduct monthly property inspections.
  • Manage purchase order systems.
  • Verify vendor and tenant insurance certificates.
  • Coordinate building maintenance and special services.
  • Prepare and update critical property documents.
  • Create and maintain emergency contact lists.
  • Provide tenant notifications for events and special circumstances.
