Job Description
This is a full-time salaried position with potential for advancement within the company. Includes paid time off and standing company-wide holidays. Health, Dental, Vision and Life Insurance enrollment options.
Candidate’s primary role is to provide direct administrative support to lead property managers, answer incoming communications, and assist current and prospective residents. We are looking for someone who is organized and able to keep track of multiple ongoing projects at once. Candidate must possess a friendly personality and have the ability to comfortably talk to a wide range of people with various types of personalities in a friendly manner yet be assertive enough when needed.
A list of the duties that candidate will be responsible for include, but are not limited to:
Manage incoming communications including phone calls, voicemail, email, and software notifications.
Utilize internal systems to record and track property leads for reporting to Lead Property Manager and during company meetings (in the absence of the receptionist).
Organize, schedule, assign and track initial inspections, periodic inspections, and special property visits for field services team members.
Develop & maintain systems for tracking keys. Assist field services personnel in tracking field-bound company assets (i.e. A/C units, Air Movers, etc.)
Assist in pursuing delinquent accounts, process delinquency notices, and keep owners informed of status.
Assist prospective tenants with applications and pre-process applications received.
Present lease extension and renewal options, prepare and process lease agreements.
Build, promote, and protect goodwill towards the company with vendors, tenants, prospects, and the public.
Document all company-related mileage and other incurred expenses for reimbursement & bookkeeping.
Write, review, and regularly maintain standard operating procedures for all of the above.
Other duties as assigned.
Candidate must have a valid driver's license, reliable transportation, and the ability to work Monday through Friday 8:30 AM to 5:30 PM schedule. Additional hours may be necessary on select weekends during our peak rental turnover periods.
Ideal candidate will possess the following knowledge, skills, and abilities:
Ability to operate a multi-function Scanner / Copier to copy, collate and digitize documents and store them in appropriate tracking systems.
Windows 10 Operating System, Web Browsers (Google Chrome, Firefox), GSuite (Google Mail, Google Calendar, Google Drive, Google Docs / Sheets) Microsoft Word / Excel, Knowledge of Appfolio property management software is a plus.
