Job Details:
We are seeking a dynamic and highly organized Proposal Assistant to join our Engineering team. This exciting role requires a candidate who is proficient in Microsoft SharePoint, has excellent attention to detail, and has experience in maintaining and updating databases and SharePoint sites. The successful candidate will be responsible for supporting the proposal process, managing customer bidding sites, and ensuring all projects are completed on time and to the highest standard. Responsibilities:
  • Assist in the preparation and revision of proposals, including coordinating the collection of materials from various contributors, and ensuring compliance with proposal requirements.
  • Maintain and update databases and SharePoint sites with current and accurate information.
  • Manage customer bidding sites, ensuring all information is up-to-date and accurate.
  • Take detailed meeting notes and distribute them to relevant team members.
  • Collaborate with various teams to gather necessary information and materials for proposals.
  • Assist in the development and implementation of new proposal processes and strategies.
  • Ensure all proposals are submitted within the given timeframe and meet the highest quality standards.
  • Provide administrative support to the proposal team as needed, including scheduling meetings, managing calendars, and coordinating resources.
Qualifications:
  • A minimum of 5 years of experience in a similar role within the Engineering industry.
  • Proficiency in Microsoft SharePoint is essential.
  • Demonstrated experience in maintaining and updating databases and SharePoint sites.
  • Experience managing customer bidding sites.
  • Proven ability to assist in revising and managing proposal processes.
  • Strong attention to detail and the ability to manage multiple projects simultaneously.
  • Excellent communication skills, both written and verbal.
  • Strong organizational and time management skills.
  • Ability to work effectively both independently and as part of a team.
  • Bachelor's degree in Engineering, Business Administration, or a related field is preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Experience in a fast-paced, deadline-driven environment.
