Job Details

We are seeking a highly organized and detail-oriented Office Operations Coordinator to manage a variety of office functions across multiple floors. This individual will be responsible for kitchen management, office maintenance, conference room coordination, vendor relations, and general support for building operations and employee services. The ideal candidate will be proactive, adaptable, and able to handle multiple responsibilities with a high level of efficiency.

Key Responsibilities:

Oversee kitchen inventory for multiple floors, ensuring supplies such as food, beverages, napkins, silverware, cleaning products, and paper goods are stocked and within budget.
Restock kitchens as needed throughout the week and ensure daily cleanliness, including running and unloading dishwashers.
Prepare coffee daily, maintain coffee machines, and descale the Keurig.
Organize and set up office lunches on a weekly basis.
Coordinate with plant vendors to manage and maintain office plants across all floors.
Communicate with the building management for repairs, maintenance needs, and any disruptions that might affect office operations.
Oversee third-party service providers and communicate any necessary information regarding building maintenance to staff.
Handle logistics for building amenities, including the gym, locker room, and bowling alley, for employee use.
Assist with facility requests such as nameplate replacements and maintain office signage.
Review and approve invoices and bills via Open Invoice system.
Manage the scheduling of conference rooms, approve or deny meeting requests, and resolve any conflicts that arise.
Ensure all conference rooms are clean and well-prepared for meetings.
Maintain an orderly and clean office environment.
Monitor and replenish office supplies such as printer paper, envelopes, pens, markers, and other stationery.
Ensure stock of company swag is maintained for internal use.
Keep restrooms stocked with necessary toiletries and ensure general office cleanliness.
Handle all incoming and outgoing mail, including sorting, distributing, and preparing shipping labels.
Ensure timely and accurate distribution of mail within the office.
Manage reception duties such as answering calls, routing inquiries, and forwarding voicemails.
Greet visitors and guests, escorting them to meetings and ensuring security protocols are followed.
Coordinate guest access with building security.
Oversee the scheduling and use of company vehicles, managing the vehicle calendar and distributing keys as needed.
Ensure company vehicles are kept clean and well-maintained.
Coordinate vehicle maintenance and address any related administrative duties.
