About the Role:

We're hiring an Order Entry & Admin Specialist to support the day-to-day operations of our distribution business. This role is critical to keeping our systems accurate, our paperwork organized, and our orders flowing. Youll be responsible for processing purchase orders from customers, creating sales orders, maintaining documentation, and supporting the admin side of logistics.

This is not a customer service role. It's a behind-the-scenes position that requires precision, organization, and accountability.

Key Responsibilities:

  • Enter sales orders and purchase orders into our system accurately and on time

  • Maintain digital and physical filing systems for order paperwork, invoices, vendor records, etc.

  • Track open sales orders and follow up with operatoinson acknowledgments, lead times, and delivery updates

  • Support warehouse and sales teams by keeping item records clean (barcodes, dimensions, descriptions)

  • Help with internal document organization, scanning, archiving, and labeling

  • Assist with inventory and order reconciliations as needed

  • Identify and correct data entry or system errors related to orders and vendors

What We're Looking For:

  • 1+ years experience in administrative support, data entry, or order processing (bonus if its in distribution, logistics, or wholesale)

  • Extremely organized and accurate you take pride in getting the details right

  • Comfortable using spreadsheets and picking up new systems quickly

  • Strong written communication skills for customer/vendor follow-ups and internal notes

  • Able to stay focused in a fast-paced, high-volume environment

  • Self-starter who works well independently once trained
