Administrative Support Assistant III

The Research Foundation for Mental Hygiene is seeking a qualified candidate to fill a Full-time Administrative Support Assistant III position. The position will serve as an assistant to the director of the psychiatric institute residents clinic, an outpatient training clinic for the psychiatry residents at Columbia University Irving Medical Center. This is a full-time position, to assist the director in the safe and efficient functioning of a clinic that provides psychiatric treatment to a wide range of adults with various clinical diagnosis and treatment needs. There are four attendings, 24 residents, two geriatric fellows, and two psychology externs in the clinic and about 3-400 patients a year. Looking for someone with strong interpersonal, organization, and time management skills.

Duties and responsibilities include:

• Perform administrative/clerical tasks (examples include preparing materials for classes, interacting with technology departments, maintaining director's schedule and duties related to large amounts of sensitive clinical information)
• Coordinate and prepare for all new patient evaluations conducted by residents (notify patients of appointment dates and time and directions help manage the electronic medical record input for intakes)
• Assist the clinic director with overseeing the recruitment and screening of patients accepted for treatment in the clinic, assisting with preparing for and coordinating courses that director teaches to residents
• Assisting with ensuring a safe handoff of patients between incoming and outgoing residents each June
• Assisting with orienting a new class of residents to the clinic each July

Minimum qualifications:

• A bachelor's degree
• Administrative skills including one year work experience: typing, using spreadsheets, managing a
• One year of academic or work experience in a mental health field, psychiatry or
• One year work experience using Microsoft Word, Outlook, Excel

Preferred qualifications:

• Minimum one year of administrative work experience
• Minimum one year work experience with interacting with an electronic medical record
• Minimum one year work experience in health care and/or mental health care setting
