Executive Assistant to CEO acts as a conduit to the board of directors and senior management teams, offering hands-on support to the CEO. Reporting directly to the President and CEO, the Executive Assistant delivers executive support. This role involves managing daily activities and providing various complex administrative services in a proactive and detail-oriented way.

You must be able to exercise good judgment in various situations, possess strong written and verbal communication skills, and exhibit excellent organizational abilities; all while maintaining a high level of confidentiality.

Job Description

Executive Support

• Completes a broad variety of administrative tasks for the CEO including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
• Provides a bridge for smooth communication between the CEO and senior leaders, demonstrating leadership to maintain credibility, trust and support with senior management staff.
• Works closely and effectively with the CEO to keep well informed of upcoming commitments and responsibilities, following up appropriately.
• Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the CEO, some of which may have organizational impact.
• Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company.
• Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
• Assist in preparing general, statistical, and presentation correspondence; proofreading requests, and organize project, documentation and filing needs for the Executive.
• Manage documentation and other confidential matters
• Provide back-up assistance for administrative team as needed

Board Support and Liaison

• Maintains discretion and confidentiality in relationships with all board members
• Adhere to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.

Qualifications

• Bachelor's degree required
• Minimum 5 years of experience as an executive assistant to C level Executives or similar role
• Experience and interest in internal and external communications
• Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
• Strong organizational, time management, and problem-solving skills.
• Ability to work independently and collaboratively in a fast-paced environment.
• Attention to detail, accuracy, and confidentiality.
